How do I book a workspot?

A workspot can be booked via the Mobile, Desktop and Web applications.

Here’s how it’s done:

  1. Open FlexWhere for Desktop;
  2. Select the desired location;
  3. Go to the desired floor;
  4. Click on the calendar icon at the top left of the screen;
  5. Click on the desired date;
  6. Click on the desired workspot;
  7. Select ‘all day/morning/afternoon’ or select a specific ‘start and end time’ of the reservation;
  8. Select if you want to add the reservation to your own calendar application;
  9. Press ‘Book’ to finalise the booking;
  10. The workspot is now booked at the chosen times.

  1. Open the FlexWhere application (and log in with your email address);
  2. Select the desired location;
  3. Go to the desired floor;
  4. Find the workspot you want to book;
  5. Click on the workspot;
  6. Select the time the reservation goes into effect;
  7. Indicate if you want to add the reservation to your own calendar application;
  8. Press reserve;
  9. The workspot is now booked at the specified time.
  1. Go to https://web.flexwhere.com/ and log in with your email address;
  2. You will now receive an email where you must confirm your organization by clicking on it;
  3. You will now be taken to your organization’s FlexWhere environment;
  4. Select the desired location;
  5. Go to the desired floor;
  6. Click on the calendar icon at the top left of the screen;
  7. Click on the desired date;
  8. Click on the desired workspot;
  9. Select ‘all day/morning/afternoon’ or select a specific ‘start and end time’ of the reservation;
  10. Select if you want to add the reservation to your own calendar application;
  11. Press ‘Book’ to finalise the booking;
  12. The workspot is now booked at the chosen times.

It is not currently possible to log into the Web application when the organization is using TOTP.


Notice:A workspot can only be booked via the Desktop application If the user and device are known in FlexWhere. In addition, the device must connect from the known IP range. Ask your FlexWhere Admin for more information.

Note: If you have chosen to add the reservation to your calendar, you will receive an invitation by email. You can accept these and then add them to your calendar.

Note: Your login is valid for 30 days on the same device. When you actively log out or want to use FlexWhere on another device you will have to log in again.
